One service, set up and run for you.
Everything below is included. There's nothing to pick from and no tier to upgrade to, because the parts only do their job as one process.
A prompt first acknowledgement
Enquiries are captured from the forms and phone setup agreed in your proposal. Automatic acknowledgements use wording you've approved, including outside working hours. The target is under a minute on supported channels, subject to provider delivery. Missed-call text-back needs an available, SMS-capable caller number. Acknowledging an enquiry is the first step; someone at your business handles the conversation.
Follow-up with a clear stopping point
Captured enquiries get a record: who, what they want, where they came from and what stage they're at. Follow-up runs on an agreed schedule with a limit on attempts. It stops when a booking, decline, reply or opt-out is recorded. Replies are routed to your named contact.
You can see what happened
Enquiries in, how fast they were answered, how many got a real reply, how many turned into work. It also shows the ones that went cold without anyone picking them up, which is usually the most useful number in the report.
Someone fixes it when it breaks
I monitor it and get alerted if something fails. You get one route to report a problem and agreed hours for a reply. This is what the monthly fee is for, rather than buying software and hoping.
Where you see enquiries and record what happened.
During the audit, we choose the place your team will work: your existing CRM if it can support the process, or another agreed tracking tool. I confirm the access, any integration work and the cost before quoting.
See who needs a reply
The agreed view needs to show the enquiry, who owns it, its current stage and the next action. Your team sees its own records, with access agreed during setup.
Record the outcome
Your named responder records when someone replies, books, declines or needs further attention. We test that those updates reach the follow-up process before launch.
Review the month
Your monthly report summarises enquiries, replies and recorded outcomes. I prepare it from the agreed records. Accurate reporting depends on your team keeping those outcomes up to date.
THE TRACKING TOOL AND CONNECTIONS ARE AGREED PER CLIENT. THERE IS NO SEPARATE COMPASS RESPONSE PORTAL.
Things I’d rather say up front.
These aren't built yet, or they're a separate piece of work with their own price. If any of them matter to you, say so at the audit and I'll tell you where it stands.
I don't reply for you
The enquiry gets to you with a next step, and gets chased so it doesn't go quiet. Someone at your end still handles the ones that need a human.
No customer login or dashboard
Reporting is a monthly report I put together. There's no portal to log into. If that changes I'll say so rather than implying it exists.
Booking, reminders and invoice chasing
Separate pieces of work, once the main service is live and working. Priced on their own, never bundled in to close a sale.
Website chat and WhatsApp
Not part of this service. WhatsApp also needs approval from Meta on your own business account, which isn't something I can arrange for you.
One setup fee, then one monthly fee.
From £1,500 to set up, then £650 a month. The audit confirms your exact figure before you commit to anything, and the written proposal fixes it.
I'm taking on a few first clients at a reduced setup fee, in exchange for being able to publish the results once I have them.
The proposal itemises software subscriptions and messaging usage, including who pays each provider. It also sets support hours, included support and change allowances, any minimum term and cancellation notice. Work outside that scope is quoted for approval before it starts.
